IHH’s Compliance System

MISSION

IHH works with the objective of ensuring justice, prevailing the good, and preventing evil in the world on the basis of the fraternity. It intends to enable all the needy and the oppressed wherever they are to access to aid and promotes the right to life with dignity for all. Compliance operations are conducted in order to maintain and enhance the reputation of IHH which is a foundation involving international activities.

SCOPE

IHH’s compliance policy is formed in accordance with local and international regulations as well as ethics and moral values. Compliance operations help IHH employees to understand their responsibilities better. In that regard, it is ensured that employees act in a fully responsible way and the concept of compliance become an integral part of the institutional culture. Full responsibility means observing IHH’s working principles along with legal regulations. These principles are humanity, sincerity, independence, respect, sustainable development, cooperation and solidarity, efficiency, fairness, accountability, justice, raising awareness, scheduling, volunteerism, safety, and righteousness.

VISION

Society and those, who donates to IHH, have to be certain that donations and voluntary works are used for legitimate purposes, and intended benefits are achieved. Compliance department develops IHH’s operation processes in accordance with international standards, and follow these processes up through some mechanisms. It provides support on more advanced and qualified communication by supervising the relationship with individuals and other organizations. It aims to remind these employees about their responsibilities and duties by overseeing the processes carefully.

 ‘Compliance culture’ is a novel concept in the context of Turkey’s foundations, associations, unions and so on. However, IHH Compliance department initiated its activities in 2017 and then attended related training programs. Following receiving consultancy and getting experience, IHH is currently planning to place compliance operations in its own institutional culture. As a further step, IHH aspires to transfer its experience to other organizations, and become a leading instance on a global scale with the model of integrated compliance operation.

RESPONSIBILITY

Compliance officers are responsible for being certain that IHH’s activities are completely in compliance with local and international procedures and principles. Moreover, they are responsible for ensuring compliance of professional norms and standards with accepted business experiences, and compliance of internal standards with ethics and legitimacy.

To operate the compliance system as a regulatory tool is under the responsibility of IHH’s Board of Management and Board of Trustees. Compliance officers keep the chairman informed, and they are answerable to the Board of Trustees. Appointed Compliance Coordinator facilitates the coordination.

PROCEDURE AND OPERATION

IHH undertakes its all activities, and processes related to these activities, in accordance with the regulations in IHH’s Institutional Guideline. This Guideline (directives) was written in order to ensure that all departments work in harmony, and their activities are compatible with institutional objectives. In the guideline, there are forms and instructions which relevant department ought to use and comply during the operations. Compliance department cooperates with the Board of Management and Board of Trustees in following the process up.

 

DUTIES

Compliance department,

  • Contributes to the process of follow-up [to the procedure and operation] according to already-existing and new directives. It directly intervenes in operations and procedures to improve or enhance. Its members attend the commissions, which are the body of internal governance, and share their experiences.
  • Supports the activities to compile job definitions, instructions, and guidelines on the basis of organizational principles; and then helps to update the Institutional Guideline periodically.
  • Helps for in-house compliance, and forms a code of ethics, which is compatible with IHH’s institutional culture and values, according to the Compliance directive.
  • Supervises the activities to prevent possible problems in IHH’s operations and procedures. Contributes to developing policies against money laundering, financing of terrorism, bribery, and corruption. IHH stands out against any kind of bribery and corruption, and is determined to comply with relevant legislation, regulations, and principles.
  • Endeavors to maintain IHH’s institutional reputation by ensuring that operations proceed in accordance with directives and guidelines, and using terminology is suitable to institutional culture.
  • Backs risk and control assessment activities up. Inspects the foundation’s operations, and makes suggestions considering risk and control activities. Examines compliance and efficiency of controls. Applies the control and balance mechanisms to the compliance system in order to reduce the risk in all fields which IHH can face with.
